Terms of Service

These terms govern your use of ComplianceBot, operated by Caroleo Technology Ltd ("we", "us", "our"), a company registered in England and Wales. By using our service, you agree to these terms.

1. The Service

ComplianceBot is a property compliance document management tool designed for UK landlords. It allows you to upload, store, and track the expiry dates of compliance documents such as Gas Safety Certificates, EICRs, EPCs, and other regulatory documents.

2. Account Registration

You must provide accurate information when creating an account. You are responsible for maintaining the security of your login credentials and for all activity under your account. You must be at least 18 years old to use this service.

3. Free and Premium Plans

• Free plan: Allows management of 1 property with document uploads and OCR scanning.
• Premium plan (£5/month): Unlimited properties, unlimited document uploads, expiry tracking, and priority support.

We reserve the right to change pricing with 30 days' notice to existing subscribers.

4. Payments & Cancellation

Premium subscriptions are billed monthly via Stripe. You can cancel anytime through the billing portal — your access continues until the end of the current billing period. Refunds are not provided for partial months.

5. Your Documents & Data

You retain ownership of all documents you upload. We do not claim any intellectual property rights over your content. We process your documents using Google Cloud Vision OCR solely to extract text and expiry dates for your benefit.

You are responsible for ensuring you have the right to upload any documents to our service.

6. Acceptable Use

You agree not to:

• Use the service for any unlawful purpose.
• Upload malicious files or content.
• Attempt to gain unauthorised access to our systems.
• Resell or redistribute the service without our written consent.
• Upload documents containing sensitive personal data beyond what is necessary for property compliance.

7. Service Availability

We aim to keep ComplianceBot available 24/7 but do not guarantee uninterrupted service. We may perform maintenance with reasonable notice. We are not liable for losses caused by downtime.

8. Disclaimer

ComplianceBot is a tracking and reminder tool, not legal advice. While we help you monitor document expiry dates, you remain solely responsible for ensuring your properties comply with all applicable UK laws and regulations. OCR extraction is automated and may not always be 100% accurate — you should verify expiry dates against the original documents.

9. Limitation of Liability

To the maximum extent permitted by law, Caroleo Technology Ltd shall not be liable for any indirect, incidental, or consequential damages arising from your use of the service. Our total liability shall not exceed the amount you have paid us in the 12 months preceding any claim.

10. Termination

We may suspend or terminate your account if you breach these terms. You may delete your account at any time by contacting us. Upon termination, your data will be deleted in accordance with our Privacy Policy.

11. Changes to These Terms

We may update these terms from time to time. Material changes will be notified via email or a prominent notice on the website. Continued use after changes constitutes acceptance.

12. Governing Law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
